For a two-hour gathering, equipment may arrive earlier and cleanup may continue later. List the periods separately: delivery and setup, participant arrival, the main event, departure, and teardown.
This reveals dependencies. Rain before opening can affect seating or a playing surface even if the event hour is dry. Stronger wind after guests leave can still matter to the crew dismantling equipment. Check the practical work as well as the headline occasion.

Choose decision points in advance
Identify what can change and when. Moving a few chairs takes minutes; notifying guests or changing a hired venue can take much longer. Agree on a check-in time early enough to make the backup useful.
Write the question plainly: “Do we move indoors?” or “Can setup happen earlier?” A forecast number becomes more useful when it is attached to a real decision and someone is responsible for making it.
Read several weather factors
Precipitation timing helps you identify wet periods, while expected intensity or amount gives additional context. Wind and gusts matter to structures, signs, and equipment. Temperature, sun exposure, and cold affect the people waiting as well as those taking part.
Lightning and severe weather belong in a separate safety plan. Follow venue rules and official instructions rather than combining a hazard into an average comfort assessment. Event guidance must remain actionable even when a phone loses service.
What the planned tools are intended to do
Weather Slate’s event tools are intended to organize weather around a specific event. Calendar connection, sharing, and event-relevant updates are related development areas, not promises of finished capabilities or a release schedule.
For now, use the approach in this guide with the forecasts available to you. Our outdoor-event guide goes further into people, venues, and backup arrangements; Weather Plans explains the app’s broader planning concept.
